The tab "communication" (regarding the event) is located in Employee Management in the detailed view of an event:

Automatic emails for event participants

You have the option to create and add automatic (reminder) emails for event participants. This eliminates manual creation and sending of emails with the same standard nature. A distinction is made between individual and global emails

  • Individual automatic emails
These emails refer to a particular event, and you can create them directly under "Communication".
Add new automatic email (Click on "Expand" or "Ausklappen")
  • Description/Name*:
Required field. Provide a meaningful name for the new global email.
  • Recipients:
  • Participant (default setting)
An email will be sent to the participant.
  • Participant's manager
An email will be sent to the participant's manager.
  • Participant and his/her manager
An email will be sent to both the participant and his/her manager.
  • Manager if possible, otherwise participant
If the email is only intended for the manager, but no active manager is specified, or if the participant is an external individual, then no email will be sent. In all other cases, the email will at least be sent to the participant.
  • Email template*:
Required field. Please select an email template which matches the set event language.
Variations on email send time
Variation 1: Date of dispatch: (Automatische E-Mail ist nach Sendedatum erledigt)
Variation 2: Specify the period of time spent in a certain status, using "Send after change to participation status" (must specify a participation status. Automatic email stays active as long as the event is active.)
A combination of variations 1 and 2 is possible, but not recommended, due to the differences between the underlying use cases.
  • Date of dispatch(Variation 1 - Define the date of dispatch.)

Selection criteria for participation
  • For participant status:
Which participants receive this email A blank value means all participants from the list.
  • For list:
  • Registration on participant list
  • Registration on waiting list
  • Registration withdrawn
Only people on the configured list will receive this email If not configured, only people on the list of participants will receive this email.
  • "Participated" flag:
If you select “Yes”, only participants with the “Participated” flag will receive this email. If you select “No”, only participants who do not yet have the “Participated” flag will receive this email.
  • "Paid" flag:
If you select “Yes”, only participants with the “Paid” flag will receive this email. If you select “No”, only participants who do not yet have the “Paid” flag will receive this email.

Once you have specified all the necessary information, click "Create". The new automatic email is created and appears in the tabular overview.


  • Global automatic emails
These emails apply to all events, and are displayed here in a read-only view. You (or the responsible administrator) can create or add global automatic emails in the settings for events.
