General rules

The responsible hiring manager is the person on the hiring team who drives the decision process. The other hiring team members provide feedback in the form of evaluations/assessments, suggestions and opinions.
Therefore, the following rules apply:

  • Only the decisions made by the responsible hiring manager (about the next step for a given application) have a direct impact on the recruiting process.
  • If the next step is specified by someone other than the responsible hiring manager (e.g. by the alternate hiring manager or committee members, etc.), then this has no direct impact on the process and is considered as a suggested decision.

How evaluations/assessments and decisions are displayed in the HR view

The “Other assessments” overview lists all the assessments and hiring decisions (Proposed next step) that have been submitted, regardless of user role (hiring manager or alternate hiring manager). In addition, the Global Assessment reflects the most recently submitted assessment and the proposed next step from the responsible hiring manager.

Info.gif Where in the HR view the assessments are displayed depends e.g. on whether the manager (or hiring manager) is assigned to the job as the primary responsible manager or as an alternate manager.

Note the following points:

  • All assessments (whether submitted by a primary responsible manager or an alternate) are displayed transparently and with historization in the table on the “Manager assessment” tab in the HR view.
  • Assessments by the primary responsible manager are also stored as the so-called “global assessment” in the “Hiring manager assessment” field on the “Manager assessment” tab in the HR view.

Info.gif The manager that is driving the process on the hiring team side should always be assigned as the primary responsible manager for the position.

On this approach, the HR supervisors always have a clear overview (as a table) of the evaluation/assessment process for everyone from the hiring team that’s involved in the process, and can see at a glance what the primary decision of the primary responsible manager is (displayed as the global assessment).

How evaluations and decisions are displayed in Hiring Manager

The timeline in the Hiring Manager application lists all decisions and suggestions relating to hiring. All assessments that have been submitted are visible in the timeline (evaluations). While decisions (Proposed next step) by the primary responsible manager have a direct impact on the process and are therefore also shown in the status timeline, decisions (Proposed next step) made by other people (e.g. the alternate manager) are treated as suggestions, and therefore shown in the evaluation timeline. They have no direct impact on the process.

Info.gif The following table provides an overview of the evaluation concept and the recruiting workflow, including the various actions that have been taken and their effects in Hiring Manager and the HR view.

The individual columns contain the following information:

  • Role: User role that performs the given action.
  • Action taken: Action that is performed by the user role.
  • Effect in Hiring Manager: Effect that the given action will have in the Hiring Manager application.
  • Effect in HR expert view: Effect that the given action will have in the HR expert view (HR view).

Note: If the “Next step” is specified by someone other than the responsible hiring manager(s) (e.g. by alternate hiring managers, third parties or committee members), then it is treated as a suggestion and has no direct impact on the application process. The final hiring decision is made solely by the responsible hiring manager(s).
