Via the tab "Multiposting" within the external job posting you can access the Umantis Multiposting:
"Jobs" > (select a job) > External posting tab > "Multiposting" or directly via URL extension: /Recruiting/Vacancies/ID/Publication/RecruitmentMarketing.
If the tab is not visible, you can show it via the configuration mode.
Umantis ufe Multiposting enables a quick posting of job ads on more than 2500 job boards worldwide (Multiposter). The service is available directly via Umantis Applicant Management. It is a free-of-charge extension of your Umantis Applicant Management.
Depending on the respective posting channel (which you add to a campaign), different costs apply.
Setup and configuration
Setup/configuration is automated (additional adjustments may be necessary).
Preconditions
- The vacancie must have a responsible HR expert assigned.
- The position has to be published on the company's own job market.
- The content of the posting must be stored for all languages for which a campaign is to be launched.
Features

You have the option to search channels manually - or select either the "Recommended" or "All channels" tab.

- If a time is deposited: Indication that this job board requires an additional setup time for the first use via Umantis Multiposting. After the first use, only the regular upload time is required for each additional posting via this channel.

- If you have selected "Add to campaign" on a channel, it will be added to "Your order".
- Remove from Campaign
- This option appears only for channels that you have added to the campaign and that are in "Your order".

Job posting details
The details of the job posting are shown here in summary.
In addition to job posting content (change via Job advertisement contents), the following mandatory fields are requested, which can be defined via selection list:
- Industry
- Job function
- Employment type
- Salary
- The salary range can be specified "from" and "to" in a specified currency. In addition, it can be defined whether it is a monthly or annual salary.

In this step you will see an overview of your entire order:
- If a warning icon (
) appears next to a channel, it indicates that there is already an active campaign for that job.
- Please check all details, before you tick the checkbox at the bottom right and select "Buy Now".
- Please note: By clicking "Buy Now," you acknowledge that the full amount will be charged and no changes to the content and title of the tender will be possible.
FAQ Multiposting
- Where can I find the Multiposting feature in my solution?
The Multiposting feature is included in your Umantis Applicant Management solution. You can access it for a job opening by clicking on the "External job postings" tab and selecting "Multiposting".
- Do I have to pay a fee to activate the Multiposting feature?
No, activation of the Multiposting feature is free of charge. The only costs incurred are those of the job platforms when positions are published on them. These costs will be displayed transparently to you.
- Which user roles have access to the Multiposting feature?
Administrators and HR administrators/assistants who also have permission to advertise a job opening have access to the Multiposting feature.
- Can access to the Multiposting feature be restricted to specific HR administrators/assistants and/or branches?
Restricting access to specific branches is not possible. Access can be restricted to specific HR administrators/assistants by granting/revoking permission to advertise a job opening, which can be done as described above. Alternatively, it is possible to assign the "Sensitive Data" permission to the Multiposting feature and then allocate this permission only to selected users and user roles.
- What job posting contents can currently be displayed using the Multiposting feature?
Job posting contents that have been entered as text blocks (title, text blocks, contact) can currently be displayed using the Multiposting feature. Selection lists or contents that are fixed in the advertisement layout can be inserted into unused text fields and thus incorporated into the job posting.
- How can I still include job posting contents that are stored as a selection list or are fixed in the advertisement layout in the Multiposting feature?
A total of 8 text block titles, as well as 8 corresponding text blocks and one contact field per position are available. If one of these fields is still available, contents that are currently fixed in the advertisement layout can be entered into a free title or text block for the Multiposting feature.
- Where can the job posting contents for the Multiposting feature be adjusted?
The contents can be adjusted in the job posting contents of the corresponding position (text block or text block title) before publication. Adjusting the order of the contents (e.g. "We offer" before "You bring with you") is done by adjusting the CWC mode. Adjusting the contents within the Multiposting feature itself or making adjustments after publication is currently not possible.
- Where can the order or arrangement of job posting contents (text block titles, text blocks) be adjusted in the Multiposting feature?
The order or arrangement of the contents can be adjusted in the job posting contents. As an account administrator, simply go to "Settings" (top right) and enter "Customize view" mode, then drag and drop the text block titles or text blocks.
- What filter options are available for the platforms?
There are various filters on the left-hand side of the Multiposting feature. You can filter by job function, job title, and location. Job titles and locations work on the principle of a Google search. Suggestions are made after entering a few letters. For the location filter, you can filter by a location (e.g. Geneva) or by a country (e.g. Switzerland).
- On what basis are the platform recommendations generated?
The recommendations are based on the information provided for the position (location, job title, and function). It is then examined which functions, positions, and locations are preferred on which job platform. The recommendations are then generated accordingly.
- Why do certain platforms specify a setup time in addition to the upload time?
Certain platforms require an additional setup time when using the multiposting feature for the first time. After that, only the upload time has to be taken into account for each additional job that is published via this platform. The selected posting time of the job is not affected by this.
- Why are certain multiposting platforms subject to a fee when a job is published, even though they would be free of charge if used individually?
Behind the entire multiposting function is a lot of administrative effort for the integration and for the maintenance of the platform within our applicant management solution. The small costs incurred for this therefore cover the costs incurred on our side. However, on your side, the additional effort of creating each new platform is also eliminated, saving you time as well.
- Why do details in the job posting and job criteria need to include additional information such as industry, job function, weekly working hours, or education level?===
The details in the job posting must be recorded, as these are a basic requirement for certain platforms. The information to be entered is the most common values that are required by the platforms offered. With the help of this data, the platforms can ensure a refinement of the search.
- Where does the information about the work location, which is stored in the job criteria, come from?
The information on the work location is the address of the branch that is stored for the selected job. The stored values can be overwritten manually for the respective branch. If no values are stored in advance, the values are also missing for the corresponding branch and can be stored there centrally.
- Where can I see the current status of a post published via the multiposting function?
Within the multiposting function, the "Published" tab is located at the top right. There you can see the status of the publication per post and platform. A distinction is made between the following statuses:
- Being uploaded: The post is currently being submitted to the selected platform. The upload time depends on the selected platform and will be shown to you before the purchase.
- Published: The job has been published to the selected platform and can be viewed there.
- Not processed: The job could not be published on the selected platform. Please try again.
- Offline: The selected platform either no longer exists or the publication was canceled. There are no costs for you in this case. A job posting that has already expired is also displayed with this status and has already been charged.
- How can I find a job published via multiposting on a platform?
To do this, please go to the "Published" tab (top right) in the multiposting function. There you can access the published post directly via a link for each post and selected platform. However, not every platform offers this option. Alternatively, the platform can be called up separately and the published job can be searched for directly once it has been published via multiposting.
- Can the duration of a job published with the multiposting function be extended?
This is not possible, but the job can be published again with the multiposting function.
- Can I check myself how many jobs have been published using the multiposting function?
Yes, within the multiposting function under the tab "Published" (top right) the published campaigns incl. their costs, as well as clients can be tracked. In addition, administrators can generate a report on the jobs that were published within a defined period of time using the multiposting function under /integrations-vonq/positions/campaigns/invoice/csv?startDate=YYYY-MM-DD&endDate=YYYYY-MM-DD. The parameters "startDate" and "endDate" have to be added to the URL accordingly. If you have any further questions that are not currently listed, please let us know. - What about further partnerships in multiposting?
We are constantly working on this. We will not inform you about every new partnership, but we will be happy to send you the highlights.
- Will there be an interface to the "Bundesagentur für Arbeit" (Federal Employment Agency)?
Yes, such an interface will be made available as part of our multiposting. The "HR BA XML interface" to the "Bundesagentur für Arbeit" (Federal Employment Agency) is currently in the development phase. We will inform you as soon as this is productively available.

- How does PandoLogic's Programmatic BOOST work?
To find the best channels and platforms, the program pulls three key points from the job advertisement: job title, job description, and location. Based on this information, the artificial intelligence searches the existing database of information and platforms and selects the best options for placing your job advertisement. This may mean that the job advertisement is not only published on one platform and may change over time based on the algorithm's constant learning. Specifically, today your job advertisement may be published on Channel X, and tomorrow on Channel Y.
- What are the benefits for you as a customer?
Many! The underlying artificial intelligence aims to ensure that your ad appears on relevant channels, increasing both the number and quality of applicants while reducing advertising costs. The performance is transparent to you, and you can see the results of your publication in terms of clicks and applications in your solution.
- What do you need to consider in this regard?
Since it is a highly efficient form of recruiting, it is more complex than other methods. For example, you cannot see at what time the ad will be published on which platform. Therefore, you cannot track the job posting. You also cannot influence which platform your job posting will end up on. The program is not a guarantee that the ad will appear on your preferred site, as the algorithm is based on numbers and data. Through continuous learning, the job posting may also be displayed on other platforms during the runtime.
- What are the different options I have with PandoLogic?
PandoLogic offers three different programs in our multiposting feature:

Umantis Legal Boards
Umantis Legal Boards allow Umantis customers to publish their job advertisements directly from Umantis Applicant Management to the 'Bundesagentur für Arbeit (BfA) in Germany or to the 'Regional Employment Agency (RAV) in Switzerland.
Job information and adverts can be created in the Umantis Talent Management Suite and sent directly from there to the BfA or RAV. The applications are returned directly to Umantis where they can be processed further.
The interface is used on the basis of an additional agreement between the customer and Abacus Umantis.
Federal Employment Agency (Bundesagentur für Arbeit)
Carry out the following steps to enter a new contract for the Federal Employment Agency (Bundesagentur für Arbeit, hereinafter "BfA"):
Step-by-step instructions
1. Open a job in your Umantis Applicant Management that you would like to advertise with the BfA. Set up your initial contract with the BfA via this job. The contract is then available for all other jobs.
- In the section "External job posting" you will find "Multiposting" (direct jump: /Recruiting/Vacancies/ID/Publication/RecruitmentMarketing)
2. Click on the "My contracts" tab in the multiposting section.
- There you can enter a New contract by clicking on the link "Federal Employment Agency (BfA)":
- The form for creating the contract is then loaded.
3. Click on "Initialise Authentication" to open the authorisation form.
4. Select the certificate document under "Certificate" and enter the Password. You have received this data directly from the BfA.
5. The BfA contract form is now reloaded. If the credentials are correct, all required fields in the "Credentials" section will be activated. Fill in all the required fields.
Information on the required data (= you have previously received from the BfA) can be found in the following table:
6. The other optional details are not required for the BfA contract and can be left blank. Click on the button "Add to my contracts".
Once the contract has been successfully created, it will be displayed under the "My contracts" tab:
7. To publish the job with the Federal Employment Agency (Bundesagentur für Arbeit), click on "Add to campaign" and then go to your job.
8. In the contract overview, click on "Continue".
9. The process for purchasing a campaign is the same as for Orders. Please check the advert content and enter the further details of the job description.
10. Under the job criteria, you will be asked for the address that will be displayed as the company address at the BfA. Please enter the other mandatory fields.
11. You are now in the order progress "Contract details", which are filled in especially for the BfA. Open the form by clicking in the marked area:
- Here you will find mandatory and optional fields. To continue, please fill in at least all mandatory fields. When you have completed all fields, please click on "Next".
12. Finally, you will see an overview and can also go back to processing here. To send the order, please confirm the general terms and conditions and click on "Buy now". The job will be published with the BfA after a maximum of 24 hours. We recommend that you also check this manually.

RAV/Jobroom
Carry out the following steps to create a new contract for regional employment centres (hereinafter "RAV/Jobroom"):
Step-by-step instructions
1. Open a job in your Umantis Applicant Management that you would like to advertise with the RAV/Jobroom. Set up your initial contract with the RAV via this job. The contract is then available for all other jobs.
In the section 'External job posting' you will find Multiposting (direct jump: /Recruiting/Vacancies/ID/Publication/RecruitmentMarketing).
2. Click on the My contracts tab in the multiposting section.
- There you can create a 'New contract by clicking on the link "RAV/Jobroom":
- The form for creating the contract is then loaded.
3. It is not necessary to create or select a group for the RAV contract. The selection can be left at "Default".
- It is necessary to store the credentials. Use the user name and the password from the RAV user profile that you received from SECO.
- The other optional details are not required for the RAV contract and can be left blank.
- Click on the "Add to my contracts" button.
4. Once the contract has been successfully created, it will be displayed under the "My contracts" tab:
5. To publish the job on RAV, click on "Add to campaign" and then go to your job.
6. In the contract overview, click on "Continue".

FAQ Umantis Legal Boards
- Is Umantis Legal Boards part of Multiposting?
Umantis Legal Boards are independent, but the activation of Multiposting requires the use of Umantis Legal Boards as a prerequisite. Both are part of the overall Umantis Job Marketing package and can be used independently of each other, with different terms and conditions applying to each.
- How do applications reach us?
Applications reach your Applicant Management directly, as the campaign is published from there. This is done using the same system as Umantis Multiposting.
- Do I have to commit to a certain number of job postings to be able to use Umantis Legal Boards?
No, you can publish as many job adverts as you like and only have to pay the annual fee.
- Are changes to the job advert automatically applied during the term?
No, changes to the job advert are not automatically applied to previously published job advertisements.
- How long is the duration of a job advert?
The duration of a job advert on the selected portal can be set individually.
- Is there a limit for the annual fee or can we publish job adverts as often as we like?
There is no limit for publishing job adverts on Umantis Legal Boards.
- How long does it take for a job to appear on the portal?
The exact time until publication can vary. However, the current status of the advert can be viewed at any time so that you can check the publication status.
- How many contracts with the Federal Employment Agency (Bundesagentur für Arbeit) can I integrate into my solution?
Any number of contracts can be registered in the solution. Please note, however, that a separate certificate is required for each registered contract.
- What does "taking into care" at the Federal Employment Agency mean?
Jobs can be advertised at the Federal Employment Agency with or without "care". "Care" means that the job is actively passed on to jobseekers by the Federal Employment Agency and is suggested in interviews with people who match your profile. Jobs can be advertised on the Federal Employment Agency's job market with or without "care".
In order to receive "care" from the Federal Employment Agency, it is necessary to provide certain additional information about the job that goes beyond the mandatory fields. This information can vary between the different regional agencies, which is why it is unfortunately not possible for us to give you exact information about the required fields. For a complete list of the information required in your region, please get in touch with your contact person at the Federal Employment Agency.
- How do I get a cooperation agreement with the Federal Employment Agency?
To be able to use the interface of the Federal Employment Agency, you need a current cooperation agreement with the Federal Employment Agency. Don't have a cooperation agreement yet? Please send a request to Zentrale.VAM-Accountmgmt@arbeitsagentur.de.

- Will my job advertisements be documented so I can still view them after the end of the campaign?
Yes, your job advertisements are documented in the applicant management system. This gives you an overview of current and completed campaigns at any time. The export function also allows you to save the information locally or make it available to others.

Umantis Bring Your Own
With Umantis Bring Your Own, you can use your own contracts with providers such as Stepstone, Indeed, Jobcloud and many others to publish jobs via the Umantis Applicant Management solution.
Contracts are no longer created in the jobs area, but in the user area. They can be accessed directly via the main navigation under “Contract Management Multiposting” (Recruiting/Contracts), if displayed:
Create new contract
1.Select the desired option under “Create new contract”:
- + Other providers
- + RAV/Jobroom
- + Bundesagentur für Arbeit (BfA)
2. A contract can be used by the entire organization or by individual branches. In the next step, you therefore define which branches may use this contract.
- Choose either:
- "All branch offices (global)" or
- Specify the branch that may use the contract.
- (This option allows parent branches to make their contracts available to their subordinate branches.)
3. After that, the “Create contract” step is displayed. Depending on your selection, the following options are displayed:
- BfA
- RAV or
- Other providers
4. If you selected “Other providers”, you will be asked “Which contract do you want to add?” After entering the first few letters of the provider's name, you will receive a list of the available providers for the Umantis Bring Your Own.
5. Once you have selected the relevant provider, you will see the fields that are required for authentication with this provider. In most cases this is just the user details (i.e. login + password), but for some providers this step can be a little more complex. In this case, there is a description of what to do. For example, with some providers such as Jobcloud, it is necessary to validate a specific URL before proceeding.
Please note that the fields displayed here may vary for different providers, as they always depend on the information required by the respective provider.
- In addition to the information required for the authentication process, there are some "Optional details" that you can fill in.
- Most of these details are purely informative and have no effect on the use of the function. They are displayed on the contract tile on the "My contracts" page.
6. The field "How long in days should the job adverts be online?" is an exception. (How long in days for postings to be online?). This field determines how long a posting on job boards where the duration is not part of the purchased product will be active by default. This prevents job postings from being online indefinitely (and therefore subject to a fee). The days set here will be pre-filled in campaigns created with this contract, but can be overridden for a specific campaign.
- Your contract will be created after that.
7. After the contract has been created, it is included in the “‘’‘branch logic’‘’”. This means that you can switch to a job and, in the context of a job, you can display:
- contracts that are global (can be used by all of the branch offices)
- contracts that are specific to the branch office and the job (because they have been selected by the user)
- contracts that are superior (because the superiority/inferiority logic allows it)
- contracts that belong to this specific branch (because the superiority/inferiority logic allows it)
- From there, you can select the contracts required for the current campaign.
Contracts are selected in the same way as other tendering channels. You can also combine contracts and other tendering channels.
Important information
- Since contracts are billed directly to you, you will not see the costs assigned to the contract under a campaign.
- Creating a campaign with contracts is essentially the same as creating a campaign with regular channels.
- Before you are redirected to the payment page, you will be taken to the “Contract Details” page, where you will need to complete additional fields specific to the contract provider. These fields are again based on the requirements of a specific provider and can look very different depending on the provider.
- For each provider, the field “How long in days should the job ads be online” is displayed, which is pre-assigned the value from the contract, but can be overwritten here for the respective campaign. This value determines how long the job ad will be online only for this provider if the duration of the job ad is not part of the purchased product. For example, if you were to purchase the product Stepstone Ultimate through your contract, the duration for the job posting would still be 60 days, even if you only entered 30 days in this field.
- After you have entered the information, in particular the mandatory fields, for all selected contracts, you can go to the payment page and purchase the campaign.
Who can access/create/delete contracts?Who can access/create/delete contracts?
By default, this is the Administrator. However, users from the HR department can also be given this authorization:
The HR department (user role HR expert) can:
- access the “Multiposting Contract Management” page (/Recruiting/Contracts),
- create/delete contracts and
- purchase the campaign corresponding to the assigned branch.
The HR assistant can:
- access the “Contract Management Multiposting” page (/Recruiting/Contracts), but
- not create/delete contracts.
- What happens if an administrator deletes a contract that is currently being processed or has not yet been concluded?
- HR has added the contract to the “shopping cart” and the administrator deletes the contract
→ After selecting “Your order”, “Your shopping cart is empty!” appears - HR has placed the contract “in the shopping cart” and clicked on “Your order” and then filled in all the details up to the “Job Criteria” page. The administrator deletes the contract
→ On the contract details page, HAPI elements are not loaded - HR has placed the contract “in the shopping cart” and filled in the data up to “Contract details”. The administrator deletes the contract
→ “Your shopping cart is empty!” is displayed - HR has placed the contract in the shopping cart and is on the “Complete order/contract” page. The contract is deleted.

FAQ Umantis Bring Your Own
- Is Umantis Bring Your Own part of multiposting?
Umantis Bring Your Own and Umantis Multiposting are separate products, but the activation of Umantis Multiposting is a prerequisite for using Umantis Bring Your Own. Both products are part of the overall Umantis Job Marketing package and can be used independently of each other, although different terms and conditions apply in each case.
- How long does it take for the advertisement to appear on the job platform?
The time it takes for your advert to appear on the job platform varies depending on the job platform.
- What do I need to be able to use Umantis Bring Your Own?
In addition to the contract addendum for Umantis Bring Your Own and activation by Abacus Umantis AG in your Applicant Management, you need to activate Umantis Multiposting in your Applicant Management in order to use Umantis Bring Your Own, as Umantis Bring Your Own can only be accessed via the Umantis Multiposting tab. You will also need the contract documents or access data for the job portal that you wish to integrate into Umantis Bring Your Own.
- Which contracts can I integrate into Umantis Bring Your Own?
You can find a list of job portals here: List of job boards. There are 2 spreadsheets; HAPI JP is relevant for Umantis Bring Your Own, while HAPI JM deals with Umantis Multiposting.
