Activate for committees / retract committee access
The “Release to committees” action is used to explicitly release the given application to the committee view for assessment. That is, committee members who have Umantis login data and have been assigned to this job can then view and evaluate this application (as long as the relevant action is visible). Any evaluations will be shown in the same list as the third-party evaluations, directly under the hiring manager’s feedback.
Similarly, the “Withdraw access from committees” action withdraws access to the given application.
Release to committees
- In the applicant overview for a job (/Recruiting/Vacancies/ID/Selection)
In the applicant overview for a job, you can select the applications and apply the multiple action “Release to committees”. In the next screen, you then have the following options:
- Select the committee(s) to which the selected applications should be released.
Next to each of the committees shown here is a number in parentheses indicating how many people are on that committee. If there are no members shown for a given committee, review the member list for that committee.
- Comment
- Add an optional comment, if desired.
- Activate notifications
- If you check this box, then affected committee members in newly added committees will be notified by email. Note that each committee member will be receive only one notification per hour about new applications, even if multiple applications are released.
- Force notification
- Every affected committee member will receive a separate email for each application, ignoring the usual restriction of one email per hour.
When creating a new job, you can set the option to “Automatically forward applications to committees”. For jobs that have already been created, you can find this setting in the job description.
Once you have specified all the necessary information, click “Release and send”.
Assign committee members
In the view of a job, you can use the “Assign committee members” action to assign one or more committee members to the job.
Notes
- It is considered valid behavior for committee members (as opposed to hiring managers) to still be able to view archived applicants. This is desirable in a number of different situations, e.g. for equal opportunity officers or works councils.
- At the same time as you release the application, you can also send the committee members an email and inform them of the new application. A committee member receives at most one notification email every 24 hours.
- In general, the action to release an application for the committee view is available to both the HR expert and the hiring manager.
- New committees can be easily added as selection values in the appropriate selection list (/Administration/Dropdown/33/Profile).
- If access for committees is withdrawn for an application, an empty value is stored under History of releases to committees in the tabular view. This is correct behavior, and shows that the application is not currently released for any committee.
